Beamtrace ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our AI visibility tracking service (the "Service").

By using Beamtrace, you agree to the collection and use of information in accordance with this policy. If you do not agree with our policies and practices, do not use our Service.

2. Information We Collect

2.1 Account Information

When you create an account, we collect:

  • Email address
  • Name (if provided)
  • Authentication credentials
  • Account preferences and settings

2.2 Tracking Data

To provide our AI visibility tracking service, we collect and process:

  • Brand names, products, and business entities you want to track
  • Competitor information you provide for comparison
  • Prompts, queries, and search terms you want to monitor
  • Content URLs and citations you want to track
  • AI platform responses and recommendations related to your tracking requests

2.3 Usage Data

We automatically collect information about how you use our Service:

  • Pages visited and features used
  • Time spent on the Service
  • Device information (browser type, operating system)
  • IP address and general location data
  • Error logs and performance data

2.4 Payment Information

Payment processing is handled by Paddle, our payment provider. We do not store credit card numbers or full payment details. Paddle may collect and process payment information in accordance with their privacy policy.

2.5 Business, Website, and Public Information

To prepare a Strategy, identify Issues, provide an Action Plan, and produce Generated Content, we may collect and process:

  • Business descriptions, services, products, locations, markets, and competitors that you provide
  • Content and other information from websites, profiles, listings, directories, and other publicly available sources
  • Existing content and other materials you submit for analysis or content generation
  • Information about a client or other third party whose business you are authorized to represent

If you provide information or materials relating to another person or business, you are responsible for ensuring that you are authorized to provide them and to have them processed through the Service.

3. How We Use Your Information

We use the collected information for:

  • Service Delivery: To track AI visibility, analyze AI platform responses, prepare Strategies and Action Plans, identify Issues, produce Generated Content, generate reports, and provide analytics
  • Account Management: To create and manage your account, process subscriptions, and provide customer support
  • Service Improvement: To analyze usage patterns, improve our AI tracking algorithms, and enhance the Service
  • Communication: To send service updates, respond to inquiries, and provide important notices
  • Legal Compliance: To comply with legal obligations and protect our rights

4. Data Processing and AI Analysis

Our Service uses AI and automated systems to:

  • Query AI platforms (ChatGPT, Gemini, Claude, Perplexity, etc.) with your tracking requests
  • Analyze AI-generated responses for brand mentions, rankings, and recommendations
  • Analyze your website, profiles, content, business information, and relevant publicly available sources to prepare Strategies and Action Plans and identify Issues
  • Process your existing content and business information to produce suggested text and other draft materials
  • Process and store AI platform responses for historical tracking and trend analysis
  • Generate visibility scores, competitive comparisons, and analytics reports

This processing is necessary to provide the core functionality of our Service. AI platform responses are stored securely and used solely for your tracking and analytics purposes.

4.1 Connected AI Services and MCP Integrations

You may connect Beamtrace to third-party AI services, such as ChatGPT or Claude, through the Model Context Protocol (“MCP”). When you authorize such a connection, the third-party service may request Beamtrace data on your behalf within the permissions granted to your account.

Data shared through MCP may include your website, visibility metrics, topics, prompts, competitors, and content improvement recommendations. Beamtrace's MCP integration is read-only and does not allow third-party AI services to modify your Beamtrace data.

We record only limited operational telemetry about MCP requests, including the requested tool, associated Beamtrace account and website identifiers, whether the request succeeded, the error category (if applicable), and request duration. We use this information solely for security, fraud prevention, reliability, troubleshooting, analytics, and improving the MCP service. We do not use this information for behavioral profiling or advertising.

Information retrieved through MCP is transmitted to the third-party service you choose. That service may process, store, or use the information according to its own terms and privacy policy. Beamtrace does not control the third party's handling of information after it has been transmitted.

You can stop future access by disconnecting Beamtrace from the third-party service or revoking its authorization, including from Dashboard → Integrations in your Beamtrace account (organization owners and admins). Disconnecting prevents future MCP requests but does not delete information that the third party previously received. Requests regarding such information should be directed to the applicable third party.

4.2 AI Providers and Model Training

To prepare Strategies and Action Plans, identify Issues, and produce Generated Content, we may send relevant portions of your content, prompts, business information, and publicly available information we have collected about your website, profiles, listings, and public presence to third-party AI providers through their APIs.

Beamtrace does not use your content, prompts, or Generated Content to train its own AI models. Third-party AI providers process this information under their applicable API terms and privacy policies.

5. Cookies and Tracking Technologies

We use cookies and similar tracking technologies to:

  • Maintain your session and authentication state
  • Remember your preferences and settings
  • Analyze Service usage and performance
  • Provide personalized features

We use Google Tag Manager to manage analytics and tracking scripts. You can control cookies through your browser settings, though this may affect Service functionality.

6. Data Sharing and Disclosure

We do not sell your personal information. We may share data with:

  • Service Providers: Third-party services that help us operate the Service (hosting, analytics, payment processing)
  • AI Platforms: We query public AI platforms (ChatGPT, etc.) with your tracking requests. These queries do not include personal information beyond the brand/query terms you specify
  • Legal Requirements: When required by law, court order, or government regulation
  • Business Transfers: In connection with a merger, acquisition, or sale of assets

6.1 Agency and Client Data

If you use the Service for a client or another third party, you are responsible for having an appropriate legal basis and authorization to provide and process their information. To the extent Beamtrace processes personal data on your behalf solely to provide the Service, Beamtrace acts as a processor or service provider, and you or your client remains the controller or business, as applicable.

7. Data Security

We implement industry-standard security measures to protect your information:

  • Encryption of data in transit and at rest
  • Secure authentication and access controls
  • Regular security audits and monitoring
  • Limited access to personal data on a need-to-know basis

However, no method of transmission over the Internet or electronic storage is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.

8. Data Retention

We retain your information for as long as:

  • Your account is active and you use the Service
  • Necessary to provide the Service and fulfill our contractual obligations
  • Required by law or to resolve disputes

You can delete your account at any time, which will initiate deletion of your personal data subject to legal retention requirements.

Depending on your location, you may have the right to:
